Administrative Assistant

The Remote Accountant (TRA) is an innovative BPO in the Philippines that specialises in connecting great people with great Australian Businesses.

We have an Australian-based client who is looking to grow its offshore team. They are an accounting firm in Victoria that services a diverse client base, ranging from basic ITRs to high-wealth individuals, SMSFs and small businesses.

They are looking for a highly skilled administrative assistant who has excellent communication skills and is looking for a long-term career.

This role is 100% remote (work-from-home).

Minimum Experience:

  • You must have 2+ years of proven work experience as an administrative assistant for an Australian accounting firm.

The role includes:

  • Assisting with workflow management including, assisting the accountants with creating, updating and managing Jobs through XPM.
  • Actively managing the lodgment program including, regular review of outstanding lodgments (both BAS & Tax), and assisting the accountants by feeding this information into workflow meetings and following up on lodgments at various stages of the workflow.
  • Managing ATO mail using ATO Mate – checking daily processing through ATO Mate, actioning any items that need manual processing and following up on any items that need accountants’ review.
  • Assisting with preparing & setting up tax returns, including filing client documents, pre-filling reports into working papers, and following up outstanding information from clients (with the aim to move into the full preparation of personal ITRs as skills development).
  • Assisting in the preparation of letters, minutes & resolutions as required.
  • Collating tax returns, financial statements and other documentation as required including preparation of Document Packs on Xero HQ for digital signature.
  • Following up on client documents out for signature, sending reminders as required, and downloading and filing completed digitally signed documents.
  • On-the-job development, training and rewards.

Other Qualifications:

  • Bachelor’s degree in any 4-year course
  • Proficiency in XERO, XPM, MYOB or other accounting software
  • Proficiency in FYI Docs and ATO Mate is a bonus
  • Proficiency in Microsoft Office 365 (Excel, Word and Outlook) is a must
  • Excellent written and oral communication skills
  • Highly organised and detail-oriented

System Requirements:

  • Stable internet connection (at least 80 MBPS)

Work Setup and Schedule:

  • Full-time
  • Day Shift (8 Hours)
  • Fixed Saturday and Sunday off
  • Remote/Work-from-home
  • A separate room to undertake work is required
  • Must not be disturbed by electronic devices during work hours
